How we work.

This page explains how items enter the Vault, how orders are handled, and what our terms are across purchases, shipping, and privacy.

Item Selection Criteria

Every item in the Vault catalog goes through a review before being listed. We look at:

  • Condition — The physical state of the item, including wear, fading, stitching, and fabric integrity.
  • Relevance — Connection to South African rugby history, specific teams, tournaments, or notable players.
  • Authenticity markers — Manufacturer tags, known production runs, period-correct materials, and any supporting documentation.
  • Provenance — What we know about where the item came from. Not every piece has a paper trail, and we are transparent about that.

Items that do not meet our baseline standard are not listed in the Vault. However, standards vary by category — a well-worn training jersey from the 1990s is assessed differently to a modern signed match ball.

Ordering Process

  1. Browse & select — Items are listed with photographs, descriptions, sizing notes, and condition details.
  2. Add to cart — You can add multiple items. Shipping is calculated at checkout based on weight and destination.
  3. Checkout — Payment is processed securely through our payment provider. We do not store your card details.
  4. Order confirmation — You receive an email with your order summary and a reference number.
  5. Dispatch — Catalog items ship within 2 business days. You receive tracking once the parcel is handed to the courier.
  6. Delivery — Local orders usually arrive within 2–5 business days. International orders depend on the destination.

Marketplace items (sold by independent collectors) are handled directly between buyer and seller after an initial introduction through the Vault. We facilitate the connection and payment, but the seller handles dispatch.

Shipping & Risk

We ship from Cape Town, South Africa. All catalog shipments include tracking. International shipments are sent via DHL Express or FedEx where available.

Import duties, VAT, and customs fees are the buyer's responsibility and are determined by the destination country. We declare the actual item value on customs forms.

Once a parcel is handed to the courier, the risk of loss or damage in transit passes to the buyer. We pack carefully, but we are not liable for courier handling errors.

Returns

Catalog items: Can be returned within 7 days of delivery if unused and in original condition. The buyer pays return shipping unless the item was materially different from its description.

Marketplace items: Return terms are set by the individual seller. We recommend confirming the return policy with the seller before completing the purchase. The Vault acts as a facilitator, not a guarantor.

Authenticity & Description

We describe items based on what we know at the time of listing. Photographs are high-resolution and aim to show condition clearly. If we have doubts about an item's origin or authenticity, we say so in the description.

We do not employ third-party authentication services. Our assessments are based on experience, reference materials, and the information available from the source. Buyers should rely on the description and photographs when making a decision.

Privacy

We collect only the information needed to process orders and communicate with you — name, shipping address, email, and phone number. We do not sell or share customer data with third parties for marketing purposes.

Payment data is handled entirely by our payment provider. We never see or store your card details.

Disputes

If something goes wrong, contact us first. We review every dispute on its merits and aim to resolve it fairly. If we cannot reach agreement, disputes will be handled under South African law.

Changes to Policies

These policies may change as the business evolves. The version in effect at the time of your order applies to that order. We do not notify every customer of minor edits, but significant changes will be noted on this page with an updated date.
